Sending WordPress form entries to HubSpot without its plugin

You don't need HubSpot's WordPress plugin, its chat widget or its tracking code to get form entries into HubSpot. A form plugin can create or update the contact through HubSpot's CRM API with a token from your own account — a private app token or HubSpot's newer Service Key.

Why skip HubSpot's plugin?

HubSpot's plugin adds its forms, tracking script and admin screens to your site. That suits some businesses. Others already have a form they like, don't want another tracking script, or just want contacts in the CRM. For them, a direct API connection is lighter and keeps the form on your own site.

Private apps and Service Keys

HubSpot retired API keys in 2022; tokens now come from private apps. HubSpot is closing private app creation to new accounts from 28 September 2026 and to existing accounts from 26 October 2026, in favour of Service Keys. Existing private app tokens keep working. How Mailbag Pro sends to HubSpot

Mailbag Pro, the paid add-on to the free Mailbag Contact Form, takes either a private app token or a Service Key from your own account. For each form, you map fields to HubSpot contact properties. Contacts are created or updated by email address, so a returning customer's record is updated rather than duplicated.

  • The token is shown masked in your admin once saved, never in full.
  • If HubSpot refuses the token — revoked, or its permissions changed — the connection is marked failing, the entries are kept, and you're emailed at most once a day until it works; then the kept entries are sent.
  • If HubSpot rejects a specific contact's data, that entry shows HubSpot's reason and isn't retried.

What reaches HubSpot

Only the fields you map for that form, sent from your server with your token. No script is added to your pages, and Mailbag itself never sees the data. See Mailbag Pro.
